Our privacy policy

Below is In Flow Osteo’s privacy policy. It details what information we collect, how we do this, how we store it, if and when we will share it with another party, and how and when we will destroy it. We are committed to upholding your privacy and preventing disclosure of your personal and health information to unauthorised third parties. Your privacy is our priority. We are bound by the Australian Privacy Act and the Australian Privacy Principles.

What information we collect and how we do it

As a massage and osteopathy service we collect both personal and health information. Personal information is information which can be used to identify you or another person. Health information is information about your health status including any disabilities you have, conditions you have been diagnosed with, prescription medicine you are taking etc.

This information will be collected when you call us to make a booking (e.g. name, phone number), when you book online, and in person during your appointment. We will only collect that information needed to provide you with a great healthcare service. If you feel like not disclosing some information, it may still be possible for us to provide this service. In some cases that information may be necessary for us to treat you, and so without it we will be forced to end the appointment.

How we store your information

Your personal and health information is stored securely. This means it will be entered into our encrypted client management software, Cliniko, or, if it is on paper, in a locked filing cabinet. Please find Cliniko’s privacy policy here.

Some clients will receive exercise prescriptions. These clients will have the option to use the software Physitrack to help do this. Physitrack holds all personal patient information in accordance with the Privacy Act 1988 and will not share it with third parties unless it is lawful to do so. See their privacy policy here.

What we do with your information


At your initial consultation we will ask for proof of identity to prevent fraud and unauthorised use of your and other patients’ names. We verify the identity of existing patients by cross checking existing details on record.

Your health information will be used by your osteopath to help diagnose your complaint, design a treatment plan that suits you, and give you an expected timeline based on these for your recovery. It will be used by your massage therapist to determine whether and what type of massage is appropriate for you.

 

Your personal information will be used by In Flow Osteo and, if applicable, staff at Natural Therapeutics, to help us keep track of your bookings, to contact you to remind you of your booking, to bill you and to follow up on your appointment if it is necessary. We may also contact you via email letting you know about other services and offers. In these instances, you will be given the option to no longer receive such emails. This communication will be in line with the requirements of the Spam Act. Please let us know if you would prefer not to receive such emails.


When we will disclose your information

Unless we are subpoenaed or required under law by legal mandate, we will always seek your consent before sending information to a third party. If a subpoena is received, you will be informed. Please note that compensable injury management schemes, courts, tribunals, insurers and private health insurance funds can request practice records for auditing or case review purposes.

When we relay records to a third party, including health professionals, insurance schemes or private health insurers, we use protected files that are openable by the receiving party with a password received in advance.

Referral to other health professionals

In the case we refer you to another health professional for assessment or clinical management we will seek your consent, either verbally or in writing, to share the relevant information with them.

Accessing and correcting your own data

You are permitted to access and correct your data. If you would like to do so at any time, please contact us by phone or email and we will organise the process with you in a reasonable timeframe.

Disposing of your data

We are required to hold your health information for 7 years. After this time has expired, we will either shred your information (if in hard form) or request it be destroyed by our 3rd party contractor, Cliniko, and request proof of its destruction.

 

Data breach

If we become aware of a data breach that may result in serious harm to our clients, we will inform affected clients as soon as possible. We will seek to minimise its impact and contact affected clients with details on the breach and what steps, if any, they should take in response.
